Master Checklist Templates

Master checklist templates are checklist templates with more than one company linked to them. They are marked by a tick in the Master Template column in the Checklist Templates grid. When a master template is created and saved, individual company-specific templates with matching details are created for each of the linked companies (child templates). These child templates do not appear in the Checklist Templates grid. When a master template is edited, the changes are copied over to all of its linked child templates. Audit trail records from the master template are also copied to its linked child templates.

Creating a Master Template

To create a master template, you must select more than one company on the Manage Checklist Template window. See Creating a Checklist Template (step 4) for more information.

Editing a Master Template

In order to edit a master template, you must have company security access to every company linked to it. If you have access to some but not all of its linked companies, you will be able to see the master template in the Checklist Templates grid, but the "Modify", "Mark as Current" and "Copy" options will be missing from the context menu.

When editing a master template:

  • The checklist type can only be edited if the template hasn't been used in any specified companies.

  • Changes to the name and description are copied to every linked child template.

  • When activating and deactivating sections and items on a master template, all changes are copied to every linked child template.

  • When adding and deleting files from a section or item on a master template, all changes are copied to every linked child template.

When adding, editing and deleting sections for a master template, changes to the following fields are all copied to every linked child template:

  • Sequence

  • Name

  • Active checkbox

  • Restrict Completing section checkbox

  • Description

  • Instructions

  • All filters

  • Min bathrooms

  • Min bedrooms

When adding, editing and deleting items for a master template, changes to the following fields are all copied to every linked child template:

  • Sequence

  • Site Manager Only checkbox

  • Restrict completion if issues exist checkbox

  • Active checkbox

  • Photos mandatory checkbox

  • Comments mandatory checkbox

  • Description

  • Instructions

  • Section

  • All filters

  • Min bathrooms

  • Min bedrooms

  • Valuation Tick Group

  • Construction Stage

Adding and Removing Companies

When adding a company or companies to a master template, a validation check is carried out before they can be saved. If the master template contains any section filter options, item filter options, valuation tick groups or construction stages which do not exist in one of the companies you are trying to add, an error will occur and you will not be able to add that company to the master template.

When a company is removed from a master template, the corresponding child template is unlinked from the master template, becoming a standalone company-specific template and appearing in the Checklist Templates grid. If the master template was marked as current, the newly unlinked company-specific template will also remain current; if the master template was not current, the unlinked template will also be not current. If other changes are made to the master template (for example, changes to the description) at the same time as a company is removed from it, the changes will not be copied to the newly unlinked company-specific template for the removed company.

At least one of the original companies from when the master template was created must remain linked to it at all times.

Current Master Templates

A master template can only be marked as current if all companies linked to it are not already linked to an existing master template marked as current. This also applies to standalone templates: a standalone company-specific checklist template cannot be marked as current if that company is already linked with a master template which is marked as current.

A master template also cannot be saved as not current if at least one of the linked companies does not already have a current checklist template. Thus, if a Master Template has at least one company linked to an existing current master template, and at least one company with no current template, it cannot be saved at all.

Copying a Master Template

Master templates cannot be copied.

Deleting a Master Template

When deleting a master template, the usual validation for deleting a checklist template (must be empty with no sections or items) is applied to every linked child template. If the validation fails for any of the child templates, the master template cannot be deleted. When a master template is successfully deleted, all of its linked child templates are also deleted.
